Event Management
Enquiries about venue availability and bookings are made to the Event Services Manager. Once your booking has been confirmed and full contracts completed with a deposit paid then the Event Services Manager provides a one-stop contact point and enables you to plan your event and estimate costs in detail.
The Event Services Manager can offer advice on travel, parking, freight and accommodation, outline the added value services we offer which are marketing/ box office, production, catering, merchandising and stage door control and security.

Completion
Following your event the Production Services Coordinator or the Event Coordinator will ask you to sign off on leaving the venue.
You will also be required to complete a Venue Condition Checklist and a feedback form. The Event Coordinator may also ask for autographs on posters for our archives.
Settlement
The Event Coordinator will provide you with an Interim Settlement (O&OE) prior to you leaving the venue and, Hamilton City Theatres will provide Final Settlement within seven working days.
Marketing
The city and the region represent a unique market and specialised local knowledge will help you to reach audiences. Hamilton City Theatres sees the sales process as a partnership and are keen to work with you in maximising your sales success.
Hamilton City Theatres can provide advice on professional campaign development, advantageous media buying rates and access to a wide range of distribution channels.

Production Services
Our production services staff includes some of the most experienced lighting and sound designers and stage managers in the country. We have capabilities available beyond the three theatrical venues and can provide production services for all events.

Production Services Coordinator
Hamilton City Theatres will provide a Production Services Coordinator (House Technician) for your event, who may be supported by other staff, in assisting with induction, H&S and other compliance on equipment and personnel coming into any of the venues.
The Production Services Coordinator will liaise with contractors, supervise the crew, oversee packin/packout and all production elements of your event, and provide venue-specific advice.
During your event itself, your Coordinator will ensure FOH handover and handback procedures are observed and may work in one of the event-specific production areas for your event.
Event Services Coordinator
You will be assigned an Event Coordinator for your event who will have overall event-day responsibility for the venue, stage door control and security, box office, merchandising, catering, all staff and any other aspect of the event that impacts on the public including emergencies.
Catering
We have in-house catering contracts at both Founders Theatre and Clarence St Theatre which you are obligated to use when hiring those venues.
There are bar services & light snacks available to the public prior to events and during interval.
Merchandising
Hamilton City Theatres can provide a merchandising service and charge 10% commission on sales.
Stagedoor and Security
The backstage area of each of the venues is a secure area and your Event Coordinator will advise you of Hamilton City Theatres arrangements including our stagedoor procedures. Backstage access from the FOH public areas is not encouraged.
